COVID-19 Policies and Procedures

We are so excited to be back training in person.

To better protect staff, volunteers, and event participants, Arena will implement the following COVID-19 operating procedures before and during Arena Academy.  These procedures were last updated on 02/24/2022.

Arena may update these procedures at any time in response to changes in the health and legal environments. Please check back and review these before you attend Arena Academy to refresh yourself on any new policies or procedures. 

We work hard to build a vibrant and productive learning environment at Arena Academy. It is up to each of us to follow these policies to reduce the risk of COVID-19 to ourselves, our fellow participants, trainers, volunteers, and staff.

Policies and Procedures

Vaccines and Boosters

Arena requires Arena Academy attendees to be fully vaccinated and have received a booster shot against COVID-19 at least two weeks prior to the start of the event.*  If accepted, during registration, in late March or early April, we will ask you to confirm your booster status. We will collect a photo of your vaccine card (or another medical record) during registration. 

Arena will collect vaccination information via a secure web portal and will then delete such information after verification. Participants will need at least three mRNA (Pfizer & Moderna) doses or at least two doses if one is Johnson & Johnson to be considered boosted. See the CDC COVID-19 Booster guidance.

Religious, medical, or for any other reason required by law accommodations will be considered on an individual basis.

*If you’ve had one Johnson and Johnson shot but are not yet eligible for your booster we will accept your vaccine status as fully vaccinated and you will be permitted to attend the training. 

*If you’ve had two mRNA ((Pfizer & Moderna) shots but are not yet eligible for your booster, we will accept your vaccine status as fully vaccinated and you will be permitted to attend the training. 

Attendance Based on Recent COVID Exposure 

Attendees who believe they have been exposed to COVID via a close contact in the ten days prior to the event may not attend the event.

Attendance Based on Recent COVID Case

Attendees who have tested positive for COVID-19 within the ten days prior to the event may not attend unless they have been cleared as non-contagious by the health care team responsible for their treatment or the state or local public health authorities. 

Masks

N95, KN95, or KF94  masks must be worn properly during all indoor sessions by Arena staff, trainers, volunteers, and participants.* Surgical masks, cloth masks, or masks with vents are not in compliance with this policy. Masks should cover the participant’s nose and chin and fit snugly against the side of their face with no gaps. Participants wearing masks that are not an N95, KN95, KF94 will be asked to switch masks, and participants wearing masks improperly will be given a verbal warning by Arena staff. 

Attendees should bring their own masks to be in compliance with this policy. A limited supply of masks provided by Arena will be available on a first-come-first-serve basis. Here is guidance on where to find free N95 masks and on where to find N95 masks at various price points.

Masks may be removed during meals, and an option will be available for socially distanced lunch and snack breaks. When possible, participants will be given the option to eat meals outside and encouraged to do so. 

*Please note, Arena is unable to enforce masking with venue staff or others in the venue not associated with Arena.  

Daily Screening 

Prior to entering the training space, participants will be asked to fill out a daily screener checking for symptoms associated with COVID-19. Attendees must self-report any symptoms via the screener. Attendees with symptoms are required to take a rapid antigen test and report the result to Arena. 

If an attendee reports symptoms, Arena will supply the rapid antigen test. Attendees who test positive on the rapid antigen test will need to isolate for the remainder of the event. Attendees who test negative on the rapid antigen test will be permitted to continue attending. They will be expected to continue testing per Arena’s instructions and report test results to Arena along with their daily symptom screener. 

Positive COVID Participant at Arena Academy 

If an attendee, trainer, volunteer, or staffer tests positive, Arena will report the positive test to the track the person is in and their Arena Cup team. The attendee who tests positive will be asked to self-report to other close contacts. 

Close contacts will be encouraged to take a rapid antigen test. 

Waiver

Attendees, trainers, and volunteers will be required to sign a liability and release waiver. 

COVID Event Cancellation

At Arena’s discretion, the event may be canceled in response to sustained national COVID spread or the recent emergence of a new COVID variant that poses a heightened threat to attendees. 

COVID Liaison

There will be a designated Arena staffer overseeing the COVID policies and procedures during Arena Academy. Questions relating to COVID during the event should be directed to them. 

Arena Cup

All the procedures and policies outlined in this document apply to individual Arena Cup group work time outside of the official training hours. 

Hybrid 

We will not offer a hybrid virtual option for Arena Academy. 

Offsite Activities 

To reduce the risk of COVID-19 exposure during Arena Academy, participants are highly encouraged to limit exposure to others indoors and wear a mask indoors.

Travel to Arena Academy

To reduce the risk of COVID-19 exposure en route to Arena Academy, participants are highly encouraged to wear N95, KN95, or KF94  masks while traveling in public spaces such as airplanes or trains.

Respect. Empower. Include. is a core Arena training norm and it applies to our COVID-19 policies. We have all been through a lot over the past two years. COVID-19 has impacted each of us differently and many are approaching COVID-19 in different ways now. Please navigate our time together with compassion and patience for each other and yourself. Please respect your fellow participants’ requests and these policies. Together we can keep each other and ourselves safe and use our time together to train to win.
